Capturing Customer Preferences


Do you need to capture information from customers ahead of your event? Whether that's allergen information for dining experiences, or colour choices for a knitting workshop, you can use our customer preference tools to gather this important information

Enabling customer preferences

Our team will need to switch on the customer preference tool for your experience. Please get in touch with us, via hello@yuup.co, live chat, or telephone, and we'll be happy to enable this for you. Please note, this tool is to be used for capturing customer preferences only. It should not be used to request personal customer data including but not limited to contact details.

There are two tools that can be enabled: a Preference free text field and a Customer options drop-down menu. These can be used individually or in conjunction with one another. This guide explains how to use both tools to capture customer choices.

 

Preference free text field

Once this tool has been enabled, you will notice a new field beneath Participants on the experience details page. This field will be labelled Preference free text label.

This field relates to a free text box that will appear to customers during the checkout process, where hosts can ask them to enter important information. For example, do you have any allergies? 

After selecting an experience date, the customer will be taken to the ticket selection page. After choosing their tickets, if customer preferences have been enabled, the button at the bottom of this page will now say Select your preferences

The customer will then be taken to the Preferences page, where they will be prompted to enter the names of each guest attending as well as any other important information in the preference free text box.

Hosts can change the wording above the preference free text box by editing the experience in their portal and entering their desired wording into the Preference free text label field under DetailsParticipants.

Multiple choice drop-down

For some experiences, hosts may need customers to select an option from a set list i.e. pre-ordering their dinner choice. If this applies to an event you are planning on hosting, please get in touch with our team to enable a drop-down preferences list for your experience.

Much in the same way that hosts can edit the Preference free text field, once this feature is enabled there will be additional fields in the experience details page, beneath Participants.

The Preferences for individual participants section is where you can enter the options that will form the multiple choice, drop-down list. Simply enter the options that you want customers to choose between, selecting +Add another should you need additional fields.

The Preference options label is the text that will customers will see above the drop-down menu i.e. Select your main course. Customers will see the drop-down menu during checkout on the Preferences page, above the Preferences free text field (if this is also enabled).

Viewing customer preferences

Once customers have selected their preferences and completed the checkout process, their choices and notes will be recorded alongside their booking. Hosts can view customer preference notes by downloading the participant list. To download the list, go to Bookings > Calendar > select the relevant experience > click View bookings > select Download participant list.

The Participant list will be separated into two sections: 

Booking List: This section shows all bookings including how many places have been booked, the ticket type, and the booker's mobile number.

Participant Preferences: This section will break down each booking, showing the Group lead (the person who made the booking), each individual guest attached to that booking, along with their selection from the drop-down menu (Selection) and the information they entered into the preferences free text field (Note) during checkout.
